Top Applicant LLC — download your data, delete your account, or make a privacy request

This page explains how to access, download, correct, and delete the information that Top Applicant LLC holds about you, whether you use Top Applicant on the web at topapplicant.com or through the Top Applicant app for iOS or Android.

Most requests you can handle yourself, immediately, from inside your account. If you’d rather we do it, or you can no longer sign in, use the request form further down this page.

Delete your Top Applicant account

You can permanently delete your Top Applicant account at any time.

How to delete your account

In the app (iOS or Android)

  1. Open the Top Applicant app and sign in
  2. Go to Settings
  3. Open the Profile tab
  4. Select Delete Account and confirm

On the web

  1. Sign in at topapplicant.com
  2. Go to Settings
  3. Open the Profile tab
  4. Select Delete Account and confirm

Can’t sign in? Email privacy@topapplicant.com from the address on your account, and we’ll delete it for you.

Before you delete: cancel any paid subscription

If you have an active paid subscription or sponsored boost, cancel it first in your billing settings. Otherwise the deletion flow will prompt you to cancel before continuing. If you’re stuck, email privacy@topapplicant.com and we’ll help.

What gets deleted

Deletion is permanent. We do not deactivate, disable, or freeze accounts in place of deleting them.

Immediately on deletion:

  • Your profile is removed from public visibility, employer search results, and compatibility matching

Within [Insert number, e.g. 30] days, we delete or de-identify from our production systems:

  • Your account and login credentials
  • Your profile, including work history, education, skills, location and job preferences, salary expectations, values and rankings, and profile photo
  • Any résumé files you uploaded
  • Your Bruder Index and other assessment results
  • Your saved jobs and saved searches
  • Your application history and status records
  • Your messages sent through Top Applicant
  • Your notification and communication preferences

Residual copies may remain in encrypted backups for up to [Insert number, e.g. 90] days, after which they are overwritten in the ordinary course of operations.

What we keep, and why

A small amount of information survives account deletion. This is normal and legally required.

What we cannot delete

Information already delivered to an employer stays with that employer. When you apply to a job, or when an employer downloads your résumé while your profile is visible, that employer receives a copy of the information. Deleting your Top Applicant account removes your data from our systems — it does not reach into an employer’s own files, applicant tracking system, or email.

To ask an employer to delete information you sent them, contact that employer directly. Their own privacy practices govern what they do with it.

Download your data

Go to Settings → Your Data, on the web or in the app, to download everything Top Applicant holds about you at any time. No request, no waiting.

If you can’t sign in, or you’d like us to prepare the export for you, use the the support email.

Your privacy rights

We honor the rights below for every Top Applicant user in every U.S. state, whether or not your state has passed a comprehensive privacy law.

Submit a request

Use whichever is easiest.

Option 1 — Email

Email privacy@topapplicant.com from the email address on your Top Applicant account. Please include:

  • Your name
  • The email address associated with your account
  • What you’d like us to do — access, correct, delete, export, or something else
  • Your state of residence
  • Any detail that helps us find the right records

Mailed requests take longer, since we’ll need to reach you by email to verify your identity.

 

What happens after you submit

  1. We confirm receipt within 10 business days.
  2. We verify your identity. We have to make sure we’re not handing your information to someone else. Usually this means confirming you control the email address on your account. For deletion or access requests, we may ask you to confirm one or two details already in our records. We will never ask for your password, and we won’t ask for a Social Security number, government ID, or financial account number.
  3. We respond within 45 days. If we need more time, we’ll tell you before the 45 days are up and take no more than an additional 45 days.
  4. No charge. Requests are free. If a request is excessive or repetitive, we’ll tell you before doing anything that would cost you money.

If we can’t verify you

If we can’t confirm your identity with reasonable certainty, we’ll tell you and explain what else we’d need. We may decline a request we can’t verify — that protects you.

Appeals

If we deny your request in whole or in part, you can appeal.

  • Reply to our response, or email privacy@topapplicant.com with the subject line “Privacy Appeal”
  • Tell us which decision you’re appealing and why
  • We’ll respond within 45 days with our decision and our reasoning
  • If we deny the appeal, we’ll tell you how to file a complaint with your state attorney general

Authorized agents

You can have someone submit a request for you. We’ll need written proof that you authorized them, and we may contact you directly to confirm and to verify your identity. For deletion requests submitted by an agent, we will always confirm with you first.

A few things worth knowing

Employers hold their own copies. Worth repeating, because it’s the most common misunderstanding: we can delete what’s on our systems, but not what an employer already downloaded. Contact employers directly for that.

Requests about someone else. We can only act on requests about your own information. If you believe someone created a Top Applicant account using your identity, email privacy@topapplicant.com with the subject line “Impersonation Report.”

Minors. Top Applicant is only for people 18 and older. If you believe someone under 18 has an account, tell us at privacy@topapplicant.com and we’ll remove it.

Anyone can use this page. These tools and rights are available to every Top Applicant user in the United States, not just residents of states with privacy laws.
